JOB SCOPE: The position will be the focal administrative contact and deliver administrative support for/to the Support and Medical teams. 

RESPONSIBILITIES:

1. Communication:

  • Be responsible for Support/Medical email to ensure that correspondence is handled/responded accordingly.
  • Coordinate with the Operations team for maintenance if required.
  • Coordinate with Focal Counselor and Customer Service Specialist regarding the medical certificate for clients on insurance case.
  • Confirmed order Weekly Medication with Purchasing every Sunday.

2. Accounting Documents:

       Support Team

  • Taking care of receipts, send the original receipts from mini excursion & Sunday excursion, return any unused cash to accounting.
  • Arrange the cash withdrawal sign up and prepare the invoice for cash advance every Thursday.
  • Check daily balance sheet reports from accounting and communicate to Support and other relevant members for any necessary actions to be taken.
  • Prepare the top-up money documents/credit card slip of the clients for the accounting.
  • Print out the credit note when the top up is done.
  • Send the related invoice to clients.
  • Check the invoice on accounting system for the discharging clients.
  • Print out credit notes once on-site expense has been closed by the accounting team.
  • Collect the discharge refund from the accounting.

       Medical Team

  • Check pending invoices for discharging clients.
  • Check daily balance sheet reports from accounting and communicate to the team to take actions, feedback to accounting and team concerned for action taken.
  • Clear last week’s petty cash with the accounting
  • Submit the payment request to pay third party vendors with the accounting for the transfer on Friday.
  • Issue invoice for client after seeing doctor on Saturday.
  • Check money deposit for on-site expenses.
  • Clear bills.
  • Follow up medical certificate if client requested and send to doctor to approved.

3. Scheduling Tasks:

       Support Team

  • Pre-arrival: Assign the client code to new intake based on the focal counselor allocated, and update client’s personal schedule.
  • Pre-arrival: Assign buddy & group allocation for new intake
  • Pre-arrival: Update massage and fitness schedules
  • Recheck the clients’ schedules, print and post on the client’s board before starting the new week.
  • Coordinate with Operations and other departments for special requirements or any requirements before client arrival.

        Medical Team

  • Receive weekly medications from Purchasing and update in medication inventory.
  • Prepare client’s chart and cover chart.
  • Double check TMS schedules, print and post on client board.
  • Set TMS schedule for next week.
  • Follow up TMS report for TMS case.

4. Client Service Task:      

  • Check and update Birthday list for the week’s upcoming Birthdays and send an email to Purchasing Team to buy cake.
  • Email Purchasing of the approved online shopping for client with no credit card and file the form in the shopping folder
  • Print the client’s sent homework on email and reply (no reply to client), liaise with Purchasing about shipping if needed – the administrative coordinator will prepare requested materials, then notify the Support when they are ready.
  • Check on the roster if there will be H&I meeting this week and remind therapist to update the clients list.
  • Put relevant H&I /NA posters up.
  • Ensure the necessary printed forms, daily journals, peer evaluation forms, service/offsite requests are available at the clients’ board.
  • Book the excursion place and handle restaurant booking and menu chosen.
  • Book outside service for clients.
  • Client’s Visa tracking and TM30 registration with immigration.
  • Prepare Visa docs and make the necessary appointment.
  • Weekly update Visa expiry date on the planned room allocation and send email to remind the Clinical, Medical and Operations team.
  • Coordinate with another departments regarding client visa issue.  

 REQUIREMENTS:

  • Minimum 2-3 years of experiences in administrative support or department coordinator. 
  • Fair understanding of customer service practices, courtesy, and professionalism.
  • Good interpersonal and problem-solving skills with multi-task ability.
  • Good command in both English and Thai.
  • Good command of computer skills in MS Office, database management system, and related.
  • Experience in the rehab or healthcare or hospitality industry will be an advantage.
